The Trucker's Edge is a management cost accounting program designed to work in tandem with your regular accounting system.  For many trucking operations, accounting systems such as Simply Accounting, Quickbooks, or ACCPAC are essential tools, but are limited in their ability to handle some of the more important aspects of the trucking business. Caribou’s trucking contractor software – The Trucker's Edge - is designed to fill that need.

Critical Features Missing in Many Accounting Packages include:

• Ability to Handle Load Tickets -- from the complex nature of the load attributes to the calculation of volumes to the payment of multiple vendors/employees.
• Ability to Import Load Slip and Time Slip Data -- mills can usually provide a data file with your loads that can be imported in our system.

What Can the Trucker's Edge Do For You?

The Trucker's Edge Manages Your:

Load Slips

The Trucker's Edge handles your load slips and lets you pay all your employee drivers or subcontractors for all phases related to hauling logs. You can have an unlimited number of pay phases, such as hauling, loading, and fuel adjustments.  You can pay different rates based on such variables as conventional versus self-loading trucks, or haul type.  You can also pay multiple people in connection with any given load.  For example, you can pay separate truck owners and/or drivers for loading versus hauling.

The Trucker's Edge tracks and reports loads to the job or block level and to the destination level.  Cycle time reporting allows you to analyze the turn-around times for your trucks and drivers.  You can also generate reports on a driver's hours based on average cycle times.

The Trucker's Edge can track distances between jobs and destinations.  There are reports that allow you to analyze your cost per kilometer or per load or per tonne (or cord or M3 if necessary).

The Trucker's Edge has a robust overload tracking system that allows you to track and deduct pay for overloads either based on mill policy or based on your own policy.  Overloads can be based on gross or net weights and deductions can be made at a flat rate or a rate based on the weight over the allowable threshold.

The Trucker's Edge allows you to automatically keep track of on-highway and off-highway kilometers for filing for a refund of your off highway fuel usage.  Administrators at the BC Taxation branch have welcomed filings from our users, commenting that the fuel rebate reports generated by The Trucker's Edge help streamline their review process.  In fact, they would like to encourage more automated submissions like the ones provided by our users.

The Trucker's Edge produces payroll and accounts payable and receivable entries that can be input into your accounting system (or automatically transferred if you use Quickbooks as your accounting system). Know your revenues and expenses for your hauling or other operations, such as low-bedding. With just a few keystrokes, you can generate the information to pay your drivers and any subcontractors, and you can review revenue earned on a truck-by-truck basis.  In fact, you can even calculate your expected revenues from each customer using our system, so that when you receive your cheques, you can balance your expected revenue with your actual revenue.

Time Slips

The Trucker's Edge handles your time slips and pay all your employees and subcontractors for phases such as log hauling, loading or maintenance/mechanic time. 

The Trucker's Edge allows you to track all time spent by your mechanics on each truck.  You can have any number of entries for your mechanics for a day, reflecting all the different activities performed and/or trucks worked on that day.  You can then generate reports showing what maintenance and repair work was done by whom and on what date so that you can proactively manage your maintenance scheduling.  You can also generate reports showing the costs of both your mechanic's time spent on each truck, as well as all external costs associated with repairs and parts for that truck.

Truck Costing

The Trucker's Edge uses your load slips to track your standard costs for hauling jobs.  You can set up standard costing rates and then calculate your costs by activity and by work area.  Your costing can be based on: weight (tons), distance (kilometers or miles), distance and weight (tonne-kilometer).  Just recently, we've added the ability to cost your trucks on a tonne-hour basis.

The Trucker's Edge comes with a costing worksheet that allows you to build up your standard costs for each truck based on operating expenses (fuel, maintenance, repairs, etc), and ownership costs, such as depreciation, insurance and interest.

One Database for Single Point of Entry

The Trucker's Edge uses Microsoft Access as its to store its data. What does this mean to you? It means:

• All your data is stored in one place -- no more searching for the right MS Excel file
• Data is keyed in once. For example, if you enter a load slip once, you can then generate employee/contractor pay statements for that load, you can generate an accounts receivable entry for that load, and you can report on the turn-around time on that load, all based on one single entry of the ticket.  No more handling of the information numerous times to complete numerous tasks.
• Changes cause all related entries to be updated automatically. For example, if you change an employee's name or employee number, all time slips for the employee are automatically updated.
• You cannot make keypunch spelling errors. The database will NOT save data that are not valid. For example, you set up employee Bob Trucker with employee number 1010 -- you cannot save a time slip with Bob's last name accidentally spelled Trukker or with his number being 1100 instead of 1010.

Highly Configurable

• With The Trucker's Edge, we can configure your load tickets and daily employee time tickets so that they have only those attributes that you want.  What's more, we can name these attributes anything you want.  You get to dictate the terminology used in The Trucker's Edge. 
• The Trucker's Edge supports all different types of weight or volume measures so you can track or pay on any basis needed (e.g., tonne, M3, BDT, per load). 
• Date formats? The Trucker's Edge uses whatever setting you have for your computer.
