In the oil field services business, contractors often create a 'daily work order' in order to record all the activities and time devoted to performing work for that day.  The work order charges are then signed-off (authorized) by a supervisor for the paying customer.  A work order may contain charges for hourly time for workers and equipment, charges based on non-hourly activity (e.g. a day rate or units of activity), or charges for third party subcontractors that are passed through to a customer. 

The WORM System allows you to create a daily work order and track it through the invoice and billing process.  It offers many capabilities that are required of oil service contractors, but that are not available through traditional accounting software packages.

Main Features of The WORM		Billing and Work Order Tracking Made Easy
Create a daily worker.  The daily work order handles worker time and equipment time.  It also handles third party charges with a mark-up. Set up billing rates based on hours or any other unit of measure, such as days, loads, miles, KMs, etc.  Billing rates can also be set to vary by the activity performed. Print a daily work order.  You can print a daily work order and submit it for approval. Save a Worker Order Image.  You can scan a work order as a PDF file and save it.  You can then call up the image of the work order from the user interface. Track your daily work orders through the approval process.  You can mark a work order as 'submitted for approval' and then 'approved' once authorization has been obtained. Attach a set of daily work orders to an invoice.  Once your work orders have been approved, you can attach them to an invoice to bill your customer.  The invoice summarizes the daily charges on a project-by-project basis.

Work Orders

The WORM System handles your daily work orders.  You can create and print work orders so that they can be reviewed and approved by your customers.  The whole process of work order creation, submission for approval and authoirization is handled in The WORM System.

The WORM System allows you to set up multiple projects and set billing rates by worker, machine and activity.  Rates can be set on a project basis or can be set globally to cover all projects.  You can always override a rate if need be.

You can store an approved and scanned work order as a PDF file and call it up later by double-clicking on the work order.

Time Slips

The WORM System handles your time slips and gross payroll for your employees and subcontractors for all project phases from mobilization to environmental review. You can have any number of slips for an employee for a day, reflecting all the different activities performed, or the equipment operated, on that day.

The WORM System produces payroll and accounts payable and receivable entries that can be input into your accounting system. Know your revenues and expenses for your contracting operation. With a few keystrokes, generate the information to pay your employees, subcontractors, and other third party suppliers.

Equipment Costing

The WORM System uses your time slips to track equipment utilization and the hours worked by each machine. You can set up standard costing rates (with or without the cost of the operator) and then calculate your costs by activity and by project. You can assign equipment costs to the revenue stream (or contract) for each job.

Invoices

The WORM System creates and tracks your invoices.  You can readily see which of your daily work orders have been assigned to which invoice and can see whether an invoice has been paid.

The WORM System is a robust software application that ensures the integrity of your data:

One Database: The WORM System uses Microsoft Access as its to store its data. What does this mean to you? It means:

• All your data are stored in one place -- no more searching for the right MS Excel file
• Data are keyed in once. For example, if you setup an employee once, you can use pick lists to fill in the employee's name anywhere else you need
• Changes cause all related information to be updated automatically. For example, you change an employee's name or employee number, all time slips for the employee are automatically updated.
• You cannot make keypunch spelling errors. The database will NOT save data that is not valid. For example, you set up employee Bob Feller with employee number 1010 -- you cannot save a time slip with Bob's last name spelled Fellar or with his number 1100.
• Larger operations can use Microsoft's SQL Server engine as an even more robust data handling tool

The WORM System is Flexible

• Use The WORM System to configure your  daily employee time tickets so that they have only those attributes that you want.  What's more, you can name them anything you want.  The WORM System supports all different types of weight and measures so you can bill or pay on any basis you need (e.g., hour, day, load, mile, ton - you can even make up your own). 
• Date formats? The WORM System uses whatever setting you have for your computer -- Month/Day/Year versus Day/Month/Year The WORM does not care. 
• Invoice and pay statement formats are configurable, but if you don't see one you like you can design your own and we'll put it in the system for you.
