How To: Pay Trucking by Minimum Distance


1.  Background

With v4.5.0 of The Logger's Edge you can now pay load slips based on the minimum distance traveled.  This functionality allows you to set up a pay contract based on mileage (or km) traveled in connection with a load slip, as long as the distance is entered on the load slip itself.  The functionality also allows payment on distance-weight basis (i.e. ton-miles or tonne-kms).  In this case you can set the minimum mileage that is then multiplied by the actual weight to compute the ton-miles or tonne-kms.

If there is a minimum amount also set-up, the minimum payment will override the calculated amount using the minimum distance.  For example if you have a 25-ton load and the minimum distance is 50 miles and the rate is $0.25 / ton mile, the calculated amount would be $312.50 (= 25 x 50 x $0.25).  If there is also minimum payment of $350.00, this minimum payment will trump the amount based on the minimum distance.

This functionality works for vendors and employees (e.g. truck drivers).

It does not work on the load revenue side of the equation.

2.  Steps Involved

Activate Minimum Pay Distance

Add the field Minimum Pay Distance to the Pay Rates table.

Activating this field will add the minimum pay distance pay rates grid:

You can now key in the distances on the load slip.  These distance will then be used to calculate pay for the load.  If the distance that is entered for a load ticket is less than the distance in the rate setup The Logger's Edge will use the distance from the rate set up (40 miles in the grid above). 

If the distance is zero on the load ticket -- perhaps no distance was set up for a specific destination -- you will receive a zero distance warning message (#4011), but the calculator will continue.  Because a minimum distance will always be greater than zero, if there is no distance on the load ticket, the minimum distance will always be used in the calculator.

You can use the minimum distance to pay strictly by distance or distance weight.

One odd restriction:  The minimum payment column must be greater than zero, even if you do not want to use a minimum payment.  This odd restriction will be relaxed in a future version.  For the time being, however, you can use a low number, like $1.00, that will never be limiting and thereby accomplish the goal of imposing a minimum distance with no minimum payment.

Lastly.  If there is a minimum payment amount set up, it will trump the calculated amount whether or not the minimum distance is binding..
