The selection window allows you to filter the report by:

Period:   The period selection is used to facilitate the entry of the start and end dates.  You do not need to select a period.   If you select a period, you can always edit the start and end dates to be any date you choose.  For example, you can pick a period defined as 8/1/2005 to 8/12/2005, and then extend the end date by three days to 8/15/2005.

Start & End Date:   The report generated will only include records whose date and time are greater than OR equal to the start/date time and strictly less than the end date/time.  If you leave the end time blank, the program will assume you want the entire day for the end date.  In the example below, the start date/time is 8/1/2005 00:00:00 (a blank is assumed to be time 00:00:00) and the end date/time is 8/29/2005 00:00:00.  Because the end date time is blank (or 00:00:00), the program assumes you want the whole day of the 29th and makes the end date/time 8/30/2005 00:00:00. 

Block:  You can select any or all of your blocks.

Fully Loaded Employee Cost:  When checked allows you to run the report using your loaded payroll cost instead of your direct payroll cost (the default).

Use Invoice Revenue:  When checked the report will use the load revenue as calculated by the invoice calculator, rather than the actual revenue data that is keyed in under the Data Entry | Loads | Load Revenue menu item.

The Blocks, Summary P&L report shows a profit and loss breakdown for each selected blocks.   At the end of the report a summary is included that consolidates the selected blocks into one P&L breakdown.   The P&L breakdown includes five main parts: I) Revenue  II) Cost, Own Employees and Equipment  III) Cost, Sub Contractors  IV) Miscellaneous Costs  and V) Summary.

Part I:    Revenue

Part I of the report shows your revenue from the block based on the revenue rates set up for each revenue contract.  If the "Use Invoice Revenue" selection was checked the report will use the revenue as calculated by the invoice calculator, rather than the actual revenue data that is keyed in under the Data Entry | Loads | Load Revenue menu item.  Beneath the revenue portion, any mill advances that are outstanding (not collected) are listed.

In the example, we see revenue from two contracts "RV-TOLKO" and "RV-W FRASER", indicating that wood was delivered off the block 01-ATHA-1001 to two different destinations.  This example also includes an advance on the RV-W FRASER contract for $3,200.

Part II:    Cost, Own Employees and Equipment

Part II of the report shows the costs for your own equipment and employees, by activity.  These costs have been grouped using the following method: 

Employee hourly costs are shown first.  This cost is based on your time slips and the hourly base rates assigned to your employees.  This cost is your direct payroll cost; if the option "Fully Loaded Employee Cost" option had been selected, the payroll costs would be calculated using the loaded rates assigned to your employees. The total cost in the report example is $9,788.28 (line 22). 

The cost of using your own equipment is displayed next, again by activity. This cost is based on the hours reported on your time slips. The hours for each piece of equipment are multiplied by the standard cost rates assigned to the piece of equipment.   The total cost in the report example is $16,120.00 (line 33). 

Employee costs based on production activity slips are displayed next, by activity.  These costs are based on information entered into the employee production activity slips (not hourly time slips), such as by-day or by-kilometer work.  If you selected the option "Fully Loaded Employee Cost" when you ran the report, the payroll costs would be calculated using the loaded piece rates assigned to your contractors.   The cost in the report example is $200.00 (line 37). 

Employee Pay based on Load slips, such as by tons, tonnes, MBF, or M3 is shown next. This cost is based on your load slips and the contract rates assigned to your employees.  If you selected the option "Fully Loaded Employee Cost" when you ran the report, the payroll costs would be calculated using the loaded contract rates assigned to your contractors.   The cost in the report example is $497.98 (line 41). 

The  internal cost of using your own trucks is shown next.This cost is based on the weight reported on your load slips for each truck multiplied by the standard cost (per weight) rates assigned to your trucks.   The cost in the report example is $4,307.84 (line 45). 

Part III:    Cost, Sub Contractors

Part III of the report refers to your subcontractor costs.

Contractors Pay based on load slips, such as by tons, tonnes, MBF or M3 is shown first.   The cost in the report example is $8,691.74 (line 51).

Payments to contractors where pay is based on hours is shown next.   This cost is based on your contractor time slips and the hourly rates assigned to your contractors.  This part will also include pay to contractors based on tree counts or tree volumes and pay for rental equipment.  The cost in the report is $2,400.00 (line 54). 

Subcontractor costs based on production activity slips are displayed next, by activity.  These costs are based on information entered into the subcontractor production activity slips (not hourly time slips), such as by- day or by-kilometer work.   The cost in the report is $5,200.00 (line 58).  This cost is based on your contractor production activity slips and the piece rates assigned to your contractors.

Part IV:    Miscellaneous Costs

Part IV of the report refers to your miscellaneous expenses.  The amounts included here (see line 64) will include expenses paid to third-party vendors and those reimbursed to your own employees.

Part V:    Summary

Part V of the report calculates the total profit/loss on the block and includes some statistical information on the block. 

The Total Cost ($47,652.84) is the sum of all the expenses (parts II, III, and VI). 
TheTotal Profit is Total Revenue less Total Cost. ($49,432.14 - $47,652.84 = $1,779.30)

• Total Actual Production:  Total volume delivered to mill over the selected date range.(based on unit of measure set up for the block)

• Total Est Production:  Volume based on tree counts and the estimated volume per tree on the block  (sums the production based on Tree Count 1 and Tree Count 2).

• Cruise Volume:  Cruise volume set up on the block

• Percent Complete:  Total Actual Production (deliveries) as a percent of the Cruise volume

• Total Trees:  Sum of all Tree Counts enter on the time slips. (Tree Count 1 and Tree Count 2)

• Actual M3/Trees:  Total Actual Production (deliveries) divided by Total Trees

• Est Conifer, Aspen / Tree:  Estimated volume per tree on the block for Tree Count 1 and Tree Count 2 (Conifer and Aspen, respectively, in the example report).

Example report 1 was run with the "Loaded Payroll Cost" option unselected.  In this case all the employee payroll cost numbers will reflect the direct payroll cost rates -- not the loaded payroll cost rates.

Example report 2 is the same as Report 1, except that the "Loaded Payroll Cost" option has been selected.  In this case all the employee payroll cost numbers will reflect the loaded payroll cost rates -- not the direct payroll cost rates.

• The Employee, Vendor and Invoice pay calculators must be run for the report
• All Costs are included in this report:

  (1) Pay based on time slips (including tree count & tree volume payments)  for both employees and contractors
  (2) Pay based on production activity slips for both employees and contractors
  (3) Pay based on load slips for both employees and contractors
  (4) Miscellaneous expenses for both employees and contractors

• Revenue for loads is based either on the values generated by the invoice calculator OR the actual revenue data that is keyed in under the Data Entry | Loads | Load Revenue menu item. The selection item “Use Invoice Revenue” will determine which values are used.
• Other Revenue based on hours, production or fixed fees is retrieved from the Invoice Calculator (Invoice Details Table).  In versions prior to 4.2, revenue in this table is recorded on the day after the ending period for the invoice.  That is, if you have a pay period that ends on July 17th, Revenue for these contracts is recognized as of July 18th. As of version 4.2, we modified the rule so that revenue in this table is recorded on the date of the time slip, load slip, etc. to  which the revenue is associated.
• Equipment cost is based on the equipment standard cost entered for each unit  (Maintenance time is NOT charged out at standard cost).
