Equipment Standard Utilization

Why:
You are looking for a report that allows you to see utilization
statistics relative to utilization benchmarks you have set for each piece of
equipment.
Focus:
Focus of Report is to provide equipment utilization data, by equipment unit.
Hours are grouped by type (production, maintenance, down, etc) and the
percentage utilization (production hours/available hours) is reported.
This report differs from the "Daily Utilization Report" (#501) in terms
of how it defines "available" hours for a machine to be productive. This
report determines "available hours" by looking at the targeted utilization
percentage you set up for each piece of equipment in the equipment costing
worksheet. Specifically, it takes the annual available hours from that worksheet
(line item #1) and prorates it by the number of days included in the date range
for which you run the report to arrive at the number of available hours for that
machine in the selected date range. This figure is used in the denominator
of the utilization percentage. (Report 501 uses the total hours entered
from the time card (other than routine maintenance hours) each day as the
"available" hours.)
- Report only covers Company-Owned Equipment
- Time entries for (1) Employees, (2) Equipment, and (3) Contractor Time are
selected where the date and equipment match your selection criteria
Selection Window:
The selection window allows you to filter the report by:

Date Range: You can either select a pay period, or you can simply enter the start and end date directly into the selection criteria window. The Period selection is merely a short-cut for entering a date range, so you can always edit the start and end dates to be any date you choose. For example, you can pick a period defined as 8/1/2004 to 8/12/2004, and then extend the end date by three days to 8/15/2004. If you leave the end time blank, the program will assume you want the entire day for the end date. In the example below, the start date/time is 8/1/2004 00:00:00 (a blank is assumed to be time 00:00:00) and the end date/time is 8/15/2004 00:00:00. Because the end date time is blank (or 00:00:00), the program assumes you want the whole day of the 15th and makes the end date/time 8/16/2004 00:00:00. In the selection query, the program returns records whose start date/time is greater than OR equal to the start/date time and strictly less than the end date/time.
- Equipment Unit. You can select any or all equipment units. The
equipment unit list is only for your equipment; contractor-owned equipment
is not on the list.
- The report can be run in Summary mode by checking the "Summary Data
Only" checkmark. This version of the report will consolidate the daily
detail into one row per equipment.
- The "Only Print Raw Data" option generates a report with the
report detail, but with no subtotals or totals.

Detailed Description:
The selection criteria determine the date range and equipment that appear in
the report.
The report shows the utilization for all company owned equipment, by Pay
Activity Type. When time slips are entered, you are required to identify the activity that
is performed by the worker/equipment (see below)

Each activity is assigned to a basic "Pay Activity Type," such as
"REG PROD" or "EQ_MAINT". These basic activity types
are used to classify the more detailed pay activities. The Pay Activity
Types are shown below (and can be found under the menu item Setup | Pay Activity
Types in the main program):

Note that although there are 13 pay activities above, they are all mapped
into one of seven Pay Activity Types.
These Pay Activity Types are used to classify all time in the Equipment
Utilization Report. Each Activity Type will have its own column in the
report.
The report shows the utilization for all company owned equipment. The
columns are:
- Equipment Unit: The description (not code) field for the equipment
unit
- Date. The date of the time slip (not date paid)
- Equipment Type: Equipment Category to which the particular unit
has been assigned.
- Pay Activity Type Columns (Other Chargeable,
Regular Production, Maintenance, etc...). The columns show the time by type of pay activity.
At the bottom of each piece of equipment, there are a set of statistics:
- Production Hours: Sum of hours belonging to a Pay Activity Type
whose Production Flag is set to True.
- Budgeted Available Hours: Pro-rated portion of the "Total
Available Hours" entered for this equipment unit under the Setup | Equipment
| Equipment Costing menu item. (The value is set up in the first row
of the worksheet that appears when you highlight the equipment unit in the
grid from this menu item, and click the "Calc Cost" button.) The
pro-ration is based on the number of days in the date range you selected
when you ran the report, divided by 365. In the example below, unit
BU07 has annual available hours of 2500. The report was run for the 30
days of November, so the Budgeted available hours equals (30/365) * 2500 =
205.48.
- Utilization %: Ratio of Productive Hrs to Budgeted Available Hours
- Budgeted Util %: Budgeted Utilization Percentage taken from Row 2
of the Equipment Costing Worksheet set up for that machine.
- Budgeted Prod Hours: Budgeted Productive Hours calculated by
multiplying the Budgeted Utilization Percentage by the Budgeted Available
Hours. This figure shows how many productive hours the machine should
have had if it were to reach its targeted utilization percentage.
Key Notes:
- The report is based on the time entries for (1) Employees, (2)
Equipment, and (3) Contractor Time, where the contractor is using your
equipment. (Note: In release 4.1.x, the selection only worked
against the time entries for (1) Employees and (2) Equipment. Release
4.2 added (3) Contractor Time.)
- It is important to recognize that this report defines utilization in a
very particular way: it is the budgeted utilization percentage set up
for each equipment unit in the Equipment Costing Worksheet.
- You do NOT need to run calculators in order for this report to work.
- You DO need to set up your Annual Available Hours and Utilization
Percentage for Each Piece of Equipment. (If you have more than one
entry for each piece of equipment because you have multiple effective dates
for the entries, the system will use the entry with the most recent
effective date for this report.)
