How To: Pay Trucking by Distance


1.  Background

With v4.2.0 of The Logger's Edge you can now pay load slips based on distance traveled.  This functionality allows you to set up a pay contract based on mileage (or km) traveled in connection with a load slip, as long as the distance is entered on the load slip itself.  The functionality also allows payment on distance-weight basis (i.e. ton-miles or tonne-kms).

The Logger's Edge can also now pay a base minimum payment for contracts that are weight or volume or distance-based, as well as for contracts that are percent of load revenue based.

2.  Steps Involved

Activate DIST or DIST_WGHT Pay Basis

The DIST and/or DISWT bay basis needs to be activated in order to set up a contract based on distance (DIST) or the product of distance and weight (DISTWT).

Activate DIST or DIST_WGHT Pay Basis

Add Distance to the Load Slip.

Activating this field will add the distance to the load slip form:

You can now key in the distances on the load slip.  These distance will then be used to calculate pay for the load.

You can set up The Logger's Edge to auto-fill the distances based on the block-destination combination.  By activating the fuel-rebate module, you can specify the on and off highway distances for each block-destination combination, viz:

Next, when you enter a load slip The Logger's Edge will sum the on and off highway distances and auto-fill the distance field on the load ticket.  This auto-filling occurs when you enter a valid block-destination combination.

If you have your distances set up for your blocks and destinations,  The Logger's Edge will use those distances when you do a load import.  Thus, when you import your loads, your distances will be automatically filled and you do not need to key them in.  Is this cool or what?  Of course, if you have not set up distances for all the relevant blockdestination combinations, the load import will leave the distance as zero for any of the offending loads.

Activate WEIGHT_CODE and PAY_MINUMUM  to Pay Rates

You will need to add the field WEIGHT_CODE to the pay rates grid if you want to use the pay by distance-weight functionality.  This field is not needed if you just want to pay by distance.  Also, if you want to pay a base minimum amount, you will need to add the field PAY_MINIMUM to the pay rates grid.

 

Setup a DIST or DIST_WGHT Pay Rate

In the pay contract wizard you need to select 'Calculate Pay based on Load Attributes'.  (If your system is configured for the one-stop block setup, you can ignore this step.)

In the pay rates grid, you then select the DIST or DISTWT pay basis and enter the rate.

If you select DISTWT, you must indicate what unit of measure to use for the weight.  For example, you loads may be recoded in s, but you want to set your rate based on tonnes, you need to set the weight code to s.  The weight used for calculating the distance-weight rate is based on the net weight of the load (not the gross).

If you want to enter a pay minimum, you can also enter that amount here.  Generally, a pay minimum would be used for short-hauls where the distance is too short to make it worthwhile for the trucker to haul the load.

The pay by distance method is not limited to trucking.  If you want, you can set up other activities (phases) to use the distance or distance-weight pay basis.

Run the Pay Calculator and Review Statements

The vendor statement will indicate the pay basis of DIST or DISTWT and the pay units.  In the case of distance, the pay units will be the mileage entered on the load ticket.  For distance-weight, the pay units will be the distance multiplied by the weight (as specified by the unit of measure on the pay contract) for the load slip.
