Trucks, Log Haul Cost, by Distance (#608)

Why:
You need a report that summarizes your log haul cost by distance by
job/block/tract and destination.
Focus:
Focus of Report is to show your trucking costs, on a distance
basis. The key statistics in the report are (1) the cost/distance and (2)
the cost/delivered unit (M3, MBF, Tonne, Ton). These
statistics are essential in determining the rates you must receive from the mill
for log hauling. The report is especially useful if you are paying
subcontractors on one basis (say Tonne or Ton), but receiving revenue on a
volume basis, such as Cubic Metres or MBF.
- Report covers all loads delivered by each truck
- Report only covers the Trucking and 'Is Pay Like Trucking' activities.
- Report only covers pay based on load slips (hourly or production pay for
the trucking activity is excluded)
- Distance is based on the distance field for load slips (a configuration
item)
There is the option of running the report for all trucks (company-owned and
contractor) or for just contractor trucks.
Selection Window:
The selection window allows you to filter the report by:
- Date Range: You can either select a pay period, or you can simply enter the start and end date directly into the selection criteria window. The Period selection is merely a short-cut for entering a date range, so you can always edit the start and end dates to be any date you choose. For example, you can pick a period defined as 8/1/2004 to 8/12/2004, and then extend the end date by three days to 8/15/2004. If you leave the end time blank, the program will assume you want the entire day for the end date. In the example below, the start date/time is 8/1/2004 00:00:00 (a blank is assumed to be time 00:00:00) and the end date/time is 8/15/2004 00:00:00. Because the end date time is blank (or 00:00:00), the program assumes you want the whole day of the 15th and makes the end date/time 8/16/2004 00:00:00. In the selection query, the program returns records whose start date/time is greater than OR equal to the start/date time and strictly less than the end date/time.
- Note: for report information that is based on load tickets, the report uses the Date Out (not the Date In).
- Block. You can select any or all of your Blocks
- The "Only Print Raw Data" option generates a report with the
report detail, but with no subtotals or totals.
- The 'Contractor Only' allows you to run the report for just your
contractor trucks (thereby excluding any of your company-owned trucks)

Detailed Description:
The selection criteria determine the date range and trucks that appear in
the report. The report is based on your loadslip entries.
The report shows the loads delivered by each truck
For each load, the columns are:
- Block Code: Source block of the loads
- Destination: Destination for the loads
- Loads: Load count between the block and destination
- Scale: Total volume for the loads. Volume unit of measure is
that specified on the block
- Cost: Total contractor cost.
- Cost/Trip: Total cost divided by number of loads (trips)
- Cost/Tonne: Total cost divided by Tonnes (in this example).
The measure Tonne is the unit of measure configured as the reporting weight
unit in measure in Basic Setup. For different users it can be a
different measure such as Tons, Pounds, Kilograms, etc. Note:
there must be a conversion set up between the unit of measure indicated in
Basic Setup and the unit of measure specified as the Delivery measure on the
block.
- Avg Scale (Volume): Scale (Volume) divided by number of loads
(trips)
- Cost/Volume: Total cost divided by total volume -- cost per unit of
volume, eg. $/M3, $/MBF or $/Ton
- Cost/Distance: Total cost divided by total distance. Total distance
is the sum of the distances (in kilometres, miles, etc.) reported on load
slips. Note the distance is not multiplied by 2.0 to calculate
a round trip.
- Avg Tonne: Total Tonnes (in this example) divided by number of
loads. The measure Tonne is the unit of measure configured as the
reporting weight unit in measure in Basic Setup. For different users
it can be a different measure such as Tons, Pounds, Kilograms, etc.
- Avg Distance: Total distance divided by number of loads (trips)
Key Notes:
- Calculators for Employees and Vendors must be run, otherwise costs will be reported as zero.
- The report treats 'split' loads as individual loads. The report does not use
the load count field on the load slip.
- The report does not differentiate between header 'H' and detail 'D'
records.
Report:
Example 1:
Example Report 1 shows sample output for the report. The key
statistics in the report are (1) the cost/distance that measures the cost per
mile or per kilometer that you are paying for trucking, and (2) the cost/volume
or cost/Tonne show the cost per delivered unit you are paying for
trucking. These statistics are essential in setting the rates you
must receive from the mill for log hauling on a block/destination basis.
The report only shows contractor (no company-owned) trucks.
